What it does

  • Separates firm decisions from ideas, opinions and items that were only discussed.
  • Extracts action items written as verb plus deliverable, each with one owner and a deadline.
  • Flags actions with no owner or no date instead of assigning them silently.
  • Captures open questions, parking-lot items and risks raised in the discussion.
  • Produces a short summary a person who missed the meeting can read in one minute.
  • Lists contradictions or unclear agreements to check with attendees before circulating.

How to use it

Works in the AI tool you already use. Pick yours for the exact steps — full guide.

Set up in ChatGPT

About 5 minutes

If you already use ChatGPT on the web or the app.

  1. 1

Download your skill (from the skill's page or My orders) and unzip it.

How do I unzip the download?
    • Windows: right-click the downloaded file (it ends in .zip) → Extract All → Extract. A normal folder opens.
    • Mac: double-click the .zip file. A normal folder appears next to it.
    • Can't find the download? Look in your Downloads folder, or download it again from My orders.
  2. 2

Open ChatGPT. In the left sidebar click New project and name it after the skill.

  3. 3

Open the project's Instructions, paste in everything from SKILL.md, and save. If the folder also has a knowledge folder, add those files to the project too.

    How do I copy what's inside SKILL.md?
    • Open the unzipped folder and find the file called SKILL.md.
    • Windows: right-click it → Open with → Notepad. Mac: right-click it → Open With → TextEdit.
    • Press Ctrl + A then Ctrl + C to copy everything (Mac: ⌘ + A then ⌘ + C).
    • Symbols like # and * are normal — they are formatting. Copy them too.
  4. 4

Start a new chat inside that project and ask for the job in your own words, for example:

    Type something like

Use the meeting-notes-to-actions skill. Here is what I need: <describe your task and paste any details, like a list or a document>

You're done when: ChatGPT asks for anything it's missing, then works through the job step by step. Every new chat in this project uses the skill.

Want to share it with your team? Create a custom GPT instead: paste SKILL.md into Configure → Instructions and add any extra files under Knowledge.

Inputs and outputs

Input

The notes or transcript (speaker names help a lot). Meeting name, date and attendees with roles. Today's date, to turn "next Friday" into a real date. The agenda (optional; it helps map discussion to decisions). If a speaker, owner or date cannot be identified, mark it [UNCLEAR] or [OWNER?] rather than guessing.

Output

**Attendees:** [names] | **Notes source:** [notes / transcript] - [bullet] - [risk] — raised by [name]

Unzip it, then add SKILL.md to your AI tool: a skills folder in Claude, a Project or custom GPT in ChatGPT, a Gem in Gemini, a rules file in Cursor or Copilot — the how-to-use guide has the exact steps.

Which problem does it solve?

We have too many meetings and nothing happens after them. Time-boxed agendas, notes turned into owners and deadlines, follow-up emails and weekly status updates that people read.
